Admin Assistant Job Responsibilities

  • The Administrative Assistant will be responsible for supporting the filing, telephone, scheduling, organizing and coordinating calendar for the unit.
  • Acts as a liaison among internal staff and outside contacts. Deals and works effectively with people at various locations and levels within and outside the organization. Responsibilities: Provides administrative support to director level reports/staff including but not limited to filing, faxing,correspondence, answering phones, scheduling meetings, and maintaining calendar.
  • Makes travel arrangements; coordinates speaking engagements, meetings, and conferences Responsible for being the primary scheduling coordinator for all meetings among internal and external guests and providing meeting agendas Prepares contracts for consultants and outside vendors as required.
  • This includes working with Business Development, Legal and Finance groups in order to track opportunities and file purchase requisitions on their behalf Updates various reports for director level reports/staff Orders office supplies; orders meals for meetings, as needed Requests repairs and follows up with various departments on technical issues (IS, graphics, Facilities) regarding director level’s equipment, as needed Processes Expense Reports, receives and distributes all Purchase Orders; Pre-authorizes Expense Reports, etc., for director level reports/staff Arranges travel and processes reimbursement for external guests Assists other staff as needed/able Arranges interviews
  • Maintains department email distribution lists Cross covers for absent administrative assistants, as needed

Experience and Required Skills for Admin Assistant Job


  • A Diploma is strongly preferred .
  • Pays attention to detail; has excellent time management; is flexible, helpful, quick learner, proactive, courteous, direct, discrete
  • Able to manage projects with modest supervision and handle/prioritize multiple tasks and requests simultaneously Strong interpersonal and communication skills (written and oral); able to maintain confidentiality of information Proficient in computer use (e.g., MS Office, )
