Responsibilities:

  • Organizing and maintaining CEO’s schedule, meetings and allocation of CEO’s time including gatekeeping CEO and prioritizing access;
  • Developing reports and other deliverables and presenting the same in absence of CEO;
  • Organizing and maintaining updated action item database for CEO and firm executives as well as follow up with firm executives on pending action items;
  • Representing CEO (proxy) on meetings, communications, project management and reporting cycles;
  • Controlling financial operational expenditure of the organization;
  • Managing correspondence, preparing research and communications on behalf of CEO;
  • Organizing and managing pool of administrative assistants;
  • Liaison with the BoD and company’ shareholders;
  • Organizing and coordinating conferences, workshops & functions –arranging venues, transport and sharing agendas;
  • General office administration;
  • Any other duties as assigned by CEO;

Education:

  • Advanced degree in business administration, finance, commerce, communications, business / project management or similar or degree in the above fields with additional experience;

 

Work Experience:

  • Minimum 7 years of experience in team management, administration, reporting, communication or project management;
  • Minimum 5 years of experience in finance field, accounting, budgeting, account/budget reporting;
  • Minimum 5 years of experience in the field of office administration including the roles of administrators, secretaries or personal / executive assistants;
  • Minimum 2 years of experience in research, analysis and data presentation;
  • Minimum 10 years of experience in personal computing, Microsoft Office suite (especially Word, Excel and Power Point). Additional knowledge of data analysis or reporting tools (such as Business Objects or Crystal Reports is desirable);

 

Languages:

  • Fluent written and spoken knowledge of English and Kiswahili is a must;
  • Knowledge of French and/or Amharic, Oromo, Yoruba, Hausa, Igbo, Lingala is desirable; Please state if this is written and/or spoken;
  • Fluent knowledge of any other language is a plus;
