Responsibilities for the Factory Manager Job

Production

  • Making sure that the tea is produced on time and is of high quality.
  • Plan daily, weekly and monthly production schedules and oversee the execution by factory staff
  • Oversee all materials movement; from raw material purchases though the operations processes and up to finished goods storage and shipment
  • Coordinate, set up and implement standard operating procedure for all production operation.

Finance

  • Financial management and control; Ensure laid down policies and procedures for accounting, payment, purchasing, selling of tea, are adhered to.
  • Estimating, negotiating and agreeing budgets and timescales with clients and other line managers.
  • Logistics
  • Logistics; organize and ensure cost-effective and timely delivery of all materials and payments for suppliers and from customers

HR

  • Human resource: recruiting suitable qualified staff and development to build a strong team and manage labor costs with support from the HR officer.
  • Oversee proper implementation of HR function to maintain zero staff unrest, comply with NEMA regulations, ensure zero workplace accidents, fire incidents and ensure staff training as necessary
  • Management and Administration
  • Monitoring standard of tea produced and implementing quality control programs
  • Implement and drive continuous improvement activities through implementation of change management process and best practices.
  • Maintain records and compliance with local government bodies (NEMA, KEBS, etc) to ensure company is always in good operating standard
  • Environment and Safety
  • Ensuring that health and safety guidelines are followed.

Accountability

  • Decision Making: Makes production decisions with the Factory Management Committee
  • Responsibility over data or information and assets Responsible for ensuring efficiency of factory and quality of products developed
  • Responsibility over staff. All factory staff

Qualifications for the Factory Manager Job 

  • Professional qualifications Diploma or Degree in Management or a Business related course preferred
    Or B.Sc. Degree in Mechanical, Agricultural or Production Engineering or equivalent qualifications from a recognized University.
  • Desirable Specialised training and experience in tea manufacturing factory
  • Relevant Experience and Key skills Should have at least 5-year experience in tea factory and field operations.
  • Personal Attributes Good administrative capability of monitoring and supervising tea production
  • Strong with numbers and comfort with technology
  • Excellent Communication skills- Writing and Verbal

Job purpose

To oversee all the activities in wood fuel department. Supervises: General workers and casuals working in the wood fuel section.

Responsibilities for the Wood Fuel Officer Job

Reports to: Team Leader, Leaf Reception

Job purpose

To accurately weigh and record all materials received into the factory and all dispatches out of the factory and ensure compliance with the set weight tolerances, internal controls and safety requirements.

Responsibilities for the Weighbridge Clerk Job

  • Ensure that all trucks in and out of the Factory are weighed appropriately and report any exceptions to your supervisor immediately.
  • Ensure that the trucks are properly positioned on the weighbridge then receive the loading/delivery documents from the driver in order to verify that they match the physical vehicle on the weighbridge.
  • Retrieve the trucks details in system and take the first weight. On the inbound process, check first that the weight is optimal (compliance with set weight); if the truck is overloaded reject it by denying it entry into the
  • Factory and informing the security officer so that they can ensure that the truck exits.
  • Issue the loading document to the driver on the outbound process and release the vehicle for loading/off-loading.
  • Following trucks loading and proper positioning on the weighbridge, take the second weight if it is within the set tolerance limit. If the truck is under /overweight, print the rejection slip with the reason indicated, Record the case in the exception case report.
  • Following vehicle off-loading and proper positioning on the weighbridge confirm the truck has off-loaded all the material. If for some reason, the truck hasn’t off-loaded everything, acknowledge the transaction in the system as a part receipt and take the weight. If the truck has off-loaded all the material, acknowledge the transaction in the system as a full receipt and take the weight.
  • Following second weight, the weighbridge ticket and delivery note/goods issue note will be printed. Issue the relevant copies of the documents to the driver and retain the rest for eventual forward to customer service center/production clerk and own filing.
  • Prepare daily weighbridge reports and treat all documents/information as confidential
  • Check proper function of the weighbridge, communication and computer equipment and timely replacement of printer cartridges and printing paper to avoid any trucks delays.
  • Ensure proper housekeeping around the weighbridge and especially the gaps between the weighing platform and the foundation for accurate weighing.
  • Ensure that any exceptions are brought to the attention of the management as necessary in order to protect the company’s interest
