Project Summary:

Through the Kenya Support Project (KSP), MSI/Kenya works to support and strengthen the current USAID/Kenya strategy in meeting day to day information needs to facilitate informed program management decisions and to provide substantive support with qualitative, quantitative, and analytical information to assist in continually assessing and evaluating the Mission’s development hypothesis. It also assists the Mission with its public education goals by providing qualitative and anecdotal evidence on the effects of projects on the lives of individual beneficiaries.

Position Summary:

This position supports the Finance and Administrative Management team and serves as an administrative assistant and receptionist maintains the office efficiently, supports office procurements, and assists with coordinating arrangements for on-site meetings/events.

Responsibilities:

  • Support administrative and logistical activities. Organize and archive information, as needed, related to project functions and administration.
  • Performing errands in support of assigned projects, such as banking, post office deliveries or pickups, project purchases or other miscellaneous tasks.
  • Coordinating office drivers and taxi drivers schedules, including tracking and equally distributing long-distance trips. Checking drivers’ mileage logs.
  • Support organization of event logistics and planning, as well as maintain a file of any related approval documentation.
  • Perform follow up calls to provide confirmation of receipt of official correspondence, reservations, and other communications.
  • Support procurement actions of office supplies and materials (e.g., for workshops) and ensure an adequate supply of office materials (paper, toner, stationary, cleaning substances, toiletries etc.) for the day-to-day running of the office.
  • Maintain an up-to-date list of vendors.
  • Welcome and attend to all office guests and answer the office telephone.
  • Coordinating office drivers and taxi drivers schedules, including tracking and equally distributing long-distance trips. Checking drivers’ mileage logs.
  • Any other assignments which as determined by the Chief of Party or Operations Manager. Qualifications:
  • Minimum two (2) years of experience in administrative and/or operational management with an international organization.
  • Bachelor‘s degree in administration or other related discipline.
  • Strong ability to pay attention to detail and follow instructions.
  • Knowledge of USAID rules and regulations.
  • Excellent English writing skills and speaking ability.
