Job description The Admin Officer- Graduate Programs is part of the Talent Management office and will provide professional recruitment and career development administrative support to the Graduate Programs Manager; acting as a reliable source of information and advice about best practices, processing all graduate recruitment and career development related administration within agreed timelines, and providing excellent customer service. The Admin Officer – Graduate Programs will proactively assist with the achievement of the Early Professional Hiring strategy for IBM. Responsibilities include: 1. Handle all recruitment, conversion, and placement activities in a responsive, customer focused way, providing a comprehensive first-line of information and advice. 2. Respond to queries from hiring manager and applicants, supporting, advising them to follow the correct procedures for high quality selection and placement. Communicate effectively and confidently at all levels, over the phone, face to face and by email. 3. Arrange suitable short-listed candidates for interviews. 4. Standards, chase and ensure interview feedback are collected and offer are issues within agreed timelines. 5. Manage all new graduate hires documentation in a timely manner. 6. Collate all new starter information uploading into the L2A database on a daily basis. 7. Ensure conversion statuses are reviewed and logged correctly in the system within the agreed timelines. 8. Run reports, analyze data and monitor performance, to provide informed advice and proactively address any issues, minimize errors and delays, escalating any concerns as appropriate. 9. Maintain the database in line with organizational changes, adding new graduates, locations, and posts etc. as appropriate, to enable responsive and effective communication 10. Act as a database trainer; advising and training other users 11. Work in accordance with agreed timescales to provide excellent service 12. Maintain awareness of own developmental needs and undertake training as necessary. 13. Act as a comprehensive support function to the Talent Organization for ad-hoc tasks and future organisational projects. 14. Undertake other duties from time to time as required by the Graduate Programs Manager or Talent Director. 15. Maintain candidates’ confidentiality in accordance with our data protection policy and procedure. 16. Required * Bachelor’s Degree * At least 2 years experience in Administration * English: Fluent
Preferred * At least 3 years experience in Administration
