Job Description: Assistant Manager – Operations & Administration – Commissioner’s Operation Office – Kra 5
Department –Strategy, Innovation & Risk Management (Si&Rm)
Reports To: Chief Manager – Operations Office

Operations & Administrations Job Purpose

Coordinating and providing administrative support to Strategy, Innovation and Risk Management department through general administrative operations, programme development, project coordination, tracking and supporting financial administration of operations, coordinate events, meetings and travel arrangement

Operations & Administrations Job Responsibilities

  • Overseeing all office activities, including approval requests and all project related procurements for the department
  • Helping the Chief Manager in linkages with consultants working on strategic initiatives
    Advises and assists Chief Manager in monitoring project budgets and prepares budget modifications according to needs arising
  • Makes decisions within guidelines in the absence of the Chief Manager such as deciding on issues to be forwarded, acted upon urgently or can be dealt with by other staff
  • Attending meetings, records, prepares and distributes minutes, contacts, and other documents and follows up on items as needed
  • Reviews action points and distributes incoming mail and correspondence for the Commissioner’s office; manages outgoing mail, courier, and other correspondence
  • Formats and tracks all approved new and revised SIRM policies and liaises with IT department to have them uploaded on the KRA website
  • Responding to information requests received in person by email and telephone
  • Maintaining both a manual and automated data filing and archiving system for the Commissioner’s office
  • Manages business calendar for the Commissioner
  • Maintains record of staff regarding recruitment, leave, staff establishments and training requirements for SIRM staff
  • Assists with coordination of staff performance contracting and appraisal

Qualifications For Operations & Administrations Job

  • A Bachelor’s Degree in Economics, Business Technology, Information management, Public Policy, Statistics or related fields;
  • Experience: Minimum 3years


  • Independent and critical decision-making and problem solving skills
  • Workload prioritization and ability to meet deadlines in a pressured environment
  • Excellent organizing skills
  • Meticulous with attention to detail
  • Complex Cross-functional project management skills
  • Computer knowledge – use of Excel and an ability to manipulate data

  • Interpersonal skills with strong persuasion and negotiation capabilities
