The main role of the Program Assistant (PA) is to give programmatic and administrative support to the fellowships and institutional partnerships unit.

Program Assistant Job Description

  • Develop and manage checklist for training courses, mentoring orientation workshops (MOWs), monitoring meetings etc.
  • Liaise with hosting centers on all logistical arrangements
  • Respond to enquiries from AWARD clients/partners about events and follow up on course registrations
  • Liaise with communications for updating and setting up the webpages for AWARD courses
  • Following up with participants on their pre-course work and deadlines
  • Liaise with service providers on printing workshop materials (workbooks/handouts/name tags etc.)
  • Work closely with the operations team to ensure all course logistics requirements are met
  • Support overall coordination of courses and workshops
  • Support organization for field trips when required
  • Provide day to day support – appointments and calendar and travel schedule to strategic activities
  • Manage internal meetings, consultants and meetings with partners and follow-up actions
  • Organize Programs Team meetings, develop the agenda, take minutes and follow up on action points
  • Liaise with Operations Team concerning program travel, meetings and other logistics
  • General administrative support to unit

Essential Qualifications for Program Assistant Job

  • Bachelor’s degree in Business Administration and/or other relevant training
  • Advanced skills in Microsoft Office
  • At least three years’ experience in managing complex projects or events
  • Experience of International Organization particularly in Non-Profit Organization
  • Communication and report writing skills
  • A high standard of written/spoken English
