Project Assistant Job Main Purpose

  • Amref Health Africa and Philips Healthcare partnered to develop Leading in Health Systems Strengthening Course (eHSS). We are seeking a Project Assistant who will be expected to market and recruit students for the Leading in Health Systems Strengthening Courses (eHSS) and also the various DCB training programmes.
  • The incumbent will also be expected to finalise the market
    assessment for the Non-Communicable Diseases courses that will be developed in the course of the year.

Project Assistant Job Key responsibilities Main tasks

  • Marketing of eHSS and all other Philips partnership and short courses in DCB
  • Design and develop a comprehensive Marketing Plan/Strategy for eHSS and other Philips partnership courses
  • Coordinate all marketing activities as per marketing plan and targets
  • Development of a comprehensive pitch document targeting the different stakeholders in the healthcare system aiming to build knowledge capacity through the training
  • Conduct and facilitate face to face and eLearning component for the Philips Community Learning Centres (CLCs)
  • Prepare and facilitate uploading on the training website information and application form for eHSS Programme
  • Establish and manage relationships with the County Governments (focusing on the marginalized and resource poor Counties) with the aim of creating avenues for DCB to train and build capacity of their health workers
  • Establish and manage relationships with both local and international health and development NGOs, CSOs, CBOs and FBOs with the aim of creating avenues for DCB to train and build capacity of their workers
  • Recruit at least 30 persons to eHSS Course per each enrollment through direct marketing activities
  • Plan and implement marketing activities of all short courses offered in DCB.

Office support,information flow and Reception

  • Prepare routine official work responses for the manager or as directed within the unit for action
  • Receive and dispatch correspondence
  • Complete forms in accordance with foundation procedures
  • Conducting searches to find needed information using such sources as the Internet
  • Receives all visitors and acts as the first point of reference for all queries to the unit
  • Planning, Information Management and Office Management
  • Work closely with the project manager to provide support in following up on programme activities and monitoring programme results.
  • Coordinate with the program manager training to draw a calendar of events
  • Participate project planning as well as ad hoc planning of activities
  • Develop and maintain relevant databases and filing systems for optimal management of information and contacts and documents

Event/activity management

  • Assist in coordinating project meetings, trainings and workshops, and participate in visibility activities for the project.
  • Liaise with Programme Manager Training to plan and provide logistics to eHSS students and mentors, Philips partnership meetings, MDI participants and facilitators, MSH project stakeholder meetings and training materials development and HRH2030 Western Africa countries participants and facilitators
  • Liaise with the Programme Manager Training to identify, align and engage external and internal partners and stakeholders
  • Ensure follow-up and execution of planned activities in all projects.
  • Ensure accurate accountability of all activities and events.
  • Prepare and facilitate uploading on the training website information and application form for eHSS Programme
  • Coordinate all regional training activities/events on the MDI& HRH2030 projects

Reporting

  • Assist in preparation of quarterly and annual budgets and scopes of work or work plans.
  • Assist in the preparation of programme reports;
  • Manage procurement of project supplies
  • Liaise with Programme Manager Training to procure project equipment and supplies.
  • Prepare, update and present procurement plans.
  • Initiate procurement of venues, equipment and transport and other needed services for project activities
  • Follow up internally and externally on production of various programme material e.g. curricula, manuals, DVDs, among others.

Finance & budget

  • In liaison with Programme Manager Training and DCB Accountant, monitor budget performance, verify financial expenditures against audit trails and advising the Programme Manager and Accountant accordingly.
  • In liaison with the Programme Manager Training, Prepare draft programmatic reports to stakeholders and donors.
  • Follow up on compliance on contractual obligations and report to the Programme Manager Training on any non-compliance.

Records and knowledge management

  • Prepare and maintain accurate records of all project activities, budgets, scopes of work and audit trails.
  • In liaison with the Program Manager Training, create, share, store and disseminate programme knowledge by collecting and collating information to maintain relevant databases in programme knowledge areas.
  • Communication Maintain a project database of all contacts related with the projects.
  • Assist the Programme Manager Training and the Corporate
  • Communication’s Manager to collate Project Technical Briefs for internal and external communications.

Qualifications and Skills for Project Assistant Job

  • A Bachelor’s degree in marketing, business administration or health related field from a recognized university;
  • Minimum of 3 years of relevant experience in related marketing of training programmes;
  • Track record of initiative and proven ability to work independently with minimal supervision;
  • Strong interpersonal skill and ability to work in a multidisciplinary team;
  • Excellent verbal and written communication and presentational skills;
  • Ability and willingness to travel to the field;
  • Computer proficiency (Microsoft office, internet and email).
